REKORD builds physical-context infrastructure in Belgium. This policy explains what personal data we process, why we process it, and the rights you have under the GDPR. It covers two separate systems: this website, and the REKORD product.
Who we are
REKORD is the controller for personal data processed on this website and for early-access enquiries sent through it. For customer recordings processed on REKORD Cloud, REKORD acts as a processor and the customer is the controller. That relationship is set out in the Data Processing Agreement.

What this website collects
This marketing site is a static website. It does not set advertising cookies and it does not run a third-party analytics tracker.
If you send an early-access note through the contact sales form, we process the work email you type, the company name, the company size and number of licences you select, and the time of the request. We use that data to reply. Legal basis: Article 6(1)(b) GDPR, steps at your request before entering a contract, and Article 6(1)(f) for related fraud prevention.
If you email us, we process the contents of that email and your address so we can reply. Legal basis: Article 6(1)(b) or 6(1)(f), depending on the request.
Our hosting provider may process standard server logs (IP address, user agent, requested URL, timestamp) to keep the site available and to investigate abuse. Those logs are not used for marketing.
What the REKORD product processes
The REKORD device records audio when a person presses the button. That audio, and the transcripts, summaries, speaker labels, action items and automations derived from it, are customer content. REKORD does not use customer content to train or fine-tune any model.
On REKORD Cloud, audio is uploaded to Paris, processed in Frankfurt, and stored in both, all inside the European Union. There is no fallback region outside the Union. On a customer-cloud or on-premise deployment, REKORD does not hold the recordings.
Account data for the product (name, work email, organisation, role, billing details, audit logs) is processed to provide the service, to invoice, and to meet legal obligations. Retention follows the customer's policy, with a default of 30 days for audio unless the customer sets another limit.
Cookies
This website does not use non-essential cookies. There is no cookie banner because there is nothing to consent to on the marketing site. If a future product login needs a session cookie, that cookie will be strictly necessary and described here before it is used.
Who we share data with
We do not sell personal data. We share data only with processors who need it to run the site or the product, listed on the subprocessors page. For REKORD Cloud product data, there are no US subprocessors in the processing path.
This marketing website is temporarily hosted on GitHub Pages. GitHub, Inc. is a US company. Website hosting logs may therefore be processed in the United States under GitHub's terms. That applies to the public website only, not to REKORD Cloud recordings.
International transfers
REKORD Cloud product data stays in the European Union. Website hosting on GitHub Pages may involve a transfer to the United States. Where a transfer is required, we rely on an adequacy decision or on the European Commission's Standard Contractual Clauses, plus a transfer impact assessment.
How long we keep data
- Early-access emails: until we close the conversation, then 7 years for accounting where Belgian law requires it.
- Support and sales email: 3 years after the last message, unless a longer legal hold applies.
- Website server logs: as retained by the host, typically 30 to 90 days.
- Product content: set by the customer. Export and deletion are available at any time.
Your rights
If you are in the EEA, the UK or Switzerland, you can ask us to access, correct, delete or export your personal data, to restrict or object to certain processing, and to withdraw consent where processing is based on consent. You can also lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit) or your local authority.

Children
REKORD is a business product. We do not knowingly collect personal data from children.
Changes
If we change this policy in a way that affects your rights, we will update the date at the top of this page and, for material changes, notify account holders by email.
